Privacy Policy

1. Introduction & Scope

This Privacy Policy explains what information Panin Library ("we," "us") collects through our website (paninlibrary.com) and our mobile app, how it's used, and your choices. It applies to App Users — library owners and their staff — and, where relevant, describes how records entered about Members (the people who use a library owner's space) are handled.

2. Information We Collect

• Account information: phone number (verified via OTP through Firebase Authentication), name, email, and gender.
• Library information: library name, address, logo, and seat configuration.
• Student/member registration records: name, phone, email, date of birth, gender, education/exam target, parent or emergency contact information, parent/guardian names, address, optional photo, optional ID number and ID proof. These details may be submitted by the student through the registration form or entered by authorized library staff.
• Payment information: transaction references, amounts, and receipts from Razorpay. We do not receive or store card, UPI, or bank account details directly.
• Device information: a push-notification token used to deliver in-app alerts.
• Website usage: standard web server logs (such as pages visited, browser type, and approximate location from IP address) when you visit paninlibrary.com.

3. How We Use Information

We use information to review registration applications, create and manage memberships, allocate seats, maintain payment and dues records, provide portal access, support identity and safety checks, process subscriptions, send service notifications, respond to complaints or support requests, prevent misuse, and improve the app and website. We do not sell personal data.

4. Email, Service Messages & Promotional Communication

A registered email address may be used for necessary account and service communication, including application status, membership and payment information, receipts, security alerts, important operational notices, and support responses.

Educational information, education-related promotions, Panin Library product or service updates, relevant in-app promotional content, and future education-related content or offers are optional where consent is required. Registration presents a separate promotional opt-in that is not required to submit an application. Promotional emails will include an appropriate unsubscribe mechanism where required. You may also withdraw promotional consent by emailing support@paninlibrary.com. Opting out of promotions does not stop essential service messages.

5. Third-Party Service Providers

We use Google Firebase (Authentication, Firestore database, Cloud Storage, Cloud Functions, and Cloud Messaging) to host and run the service, and Razorpay to process subscription payments. Each provider processes data under its own privacy and security practices.

6. Who Controls Member Data

The selected library controls the membership record and library-specific purposes for which it is used. Panin Library provides the registration and management platform and processes the record to operate the service. Panin Library's mandatory platform privacy and safety rules cannot be changed by a librarian. A library may separately select library-specific terms shown under “This Library's Terms & Conditions”.

7. Children's Data

Library Members may include minors (for example, students preparing for exams). If a library owner enters a minor's information into the service, the owner confirms they have obtained appropriate consent from a parent or legal guardian to do so.

8. Data Retention

Active account and library data is retained for as long as the account is active. When a Member is deregistered, their record is archived rather than immediately deleted, so financial and historical records stay accurate. Archived records can be permanently removed, and account or data deletion can be requested through the app or by contacting support.

9. Data Security

We rely on Google Firebase's security infrastructure, and access to a library's data is restricted to the owning account and any staff explicitly authorized by that owner. That said, no method of electronic storage or transmission is 100% secure.

10. Your Rights

Depending on your location, you may have rights to access, correct, export, or delete your personal data. Most information can be updated directly in the app; for anything else, contact us. Some data (such as completed payment records) may need to be retained for legal or accounting reasons.

11. Cookies & Tracking

Our mobile app does not use browser cookies. The website currently sets no tracking cookies beyond what's strictly necessary for it to function.
